AFO Data Maintenance

What Is It?
AFO's Data Maintenance Service is a simple, cost effective way to keep your network database continuously and accurately updated. AFO becomes your database expert and supplies you with everything you need when you need it, from inventory reports to network capacity and availability analyses. You maintain ownership and control of your data and have immediate access to the most current updates housed at your location.

Why Use AFO?
Simplifying internal operations and achieving higher levels of speed and accuracy in database updating are the main reasons customers choose AFO Data Maintenance. They cite improved decision making capabilities in marketing their network and faster response times in maintaining it because they no longer wait for or question the data they receive.

Labor:

  • Reduce hiring, training and managing database maintenance staff.
  • Ease the burden placed on multi-tasked individuals who are or will be maintaining your database.
  • Reallocate skilled resources from database maintenance to improve efficiencies and productivity elsewhere.

Speed: AFO data maintenance specialists have thousands of hours of OSPInSight experience and immediate access to OSPInSight technical support. This means unequaled data input efficiencies and speed – they have no distractions, no interruptions, and no multi-tasking on other non-OSPInSight assignments.

Cost: The cost is tailored to the quantity of database maintenance you actually use.

Savings:

  • Reduced initial OSPInSight software and annual maintenance costs
  • Reduced staff training costs
  • No penalties and fees caused by late, unavailable or inaccurate restoration information
  • No lost revenues caused by late, unavailable or inaccurate marketing information
  • Reduced man-hours per project with on-time, available and accurate network information
  • Reduced overall headcount possible

How Does It Work?
An AFO Data Services project manager is assigned to every customer to help define the scope of data maintenance needed and is responsible for quality assurance and on-time delivery of all scheduled and newly requested information.

New Data Input: Once a baseline database is established (all legacy data has been input and the input has been accepted by the end user) all new data will be input to meet the exact requirements of the original database.

Data Modification: If current data is found to be erroneous, due to field verification, etc. those errors will be corrected upon notification. Also, if there are blank fields in the database that are associated with elements originally entered, those will be added when the information becomes available.

Drawing Modifications: On an annual basis, if the background drawings are changed, the network drawings will be modified to account for such changes upon receipt of the new background drawings from the customer.

Data Integrity Check: A data integrity check will be run on a monthly basis to ensure the data has been entered properly. Such a check is designed to ensure that the "mechanics" of the data are correct, not necessarily the data content. For example, such a check will ensure that if a building is found in the graphical portion of the database, then a related building record will exist in the attribute portion of the database. We can not verify the building's existence nor that its physical characteristics are accurate without a field audit.

Data Update Tracking: As various bits of data are entered, a report will be prepared upon request to give a status of every data package being worked on. For example, if a new ring had been built and the source information had been sent, a report will be created that states the status of the information with respect to the database.

Standard Monthly Report Summary: Basic monthly reports for each database will be prepared and distributed automatically. The statistical reports consist of an overall network summary that includes information such as number of buildings, cable miles, fiber miles and enclosures. A Cable Span Analysis (CSA) report will also be prepared which will break down the individual fiber status summary such as percent of fiber used and percent of fiber available. These summaries will also show the change in the data from one month to another. If there is occasion where such reports may be needed in the interim, the request can usually be met within twenty-four hours or less.

Custom Monthly Report Summary: Most custom reports can be created within one week of the request, and can be included thereafter in your automatic monthly distribution. These reports would require a one-time setup fee at the time of the request.
